How does SubSmart work?
When a teacher requests off via our website, a job-offer is sent to the first substitute on that teacher’s pyramid. This pyramid is created automatically by the teacher and substitutes input. Job offers will appear in a substitute’s account page as well as by e-mail reminding the substitute of this offer. Our website calculates a time interval to dispense these job-offers down the teacher’s pyramid in a timely manner. This time interval controls the job-offers to more and more substitutes allowing for those at the top of a teacher’s pyramid a longer time to confirm a job. When a substitute teacher confirms a job, this information is sent to the classroom teacher via a confirmaton email and will appear on your school’s substitute coordinator's page. On this page, there will be a list of all confirmed jobs and a list of unconfirmed jobs. The list of unconfirmed jobs will have all available substitutes and their phone numbers.
Teachers get the person they know and trust in the classroom
Teachers by experience, know which substitutes are the best-fit for their classroom. By creating a substitute preference list, the teacher determines their top three substitute teacher choices. If all the substitutes on this list are unavailable, then a substitute will be chosen from a pool of substitutes determined by their favorite subjects. Substitutes will be chosen first from their top three subjects. This will help guarantee that schools get a person that is a proper match and feels comfortable teaching the subject.
Increase communication between the teacher and substitute
Each teacher will be able to list their classroom procedures, schedule, and lesson plans on our site. When the substitute teacher confirms a job, he or she will be able to access that particular teacher's page and view the teacher's information. After a substitute confirms a job, the teacher will be sent a confirmation e-mail.
Significantly less staff time coordinating substitute teachers
One major advantage of using our website is that your substitute coordinator will spend significantly less time calling people. Teaching jobs that are requested several days or more in advance will be easily confirmed via our website by the substitute teacher. A vast majority of these teaching jobs will be confirmed by the substitutes via our website. These confirmed teaching jobs may be viewed by building secretaries or other staff.
No more duplicate calls
Since many of the jobs will be assigned via our website, the chance of calling two substitutes for the same job is significantly reduced.
Match substitute teachers for difficult subjects
By virtue of our logical approach to substitute coordination, we will match more qualified substitute teachers for difficult subjects such as physics, calculus, foreign language, ESL classes and industrial arts. This attribute is simply a by-product of matching substitutes to teachers and subjects.
